| The Administrative Assistant is a key contributor to efficient day-to-day operation of the agency's PR department by handling these responsibilities, among others: |

Accurate word processing and data entry for a variety of documents and reports (using MS Word)
|
 |
Preparing spreadsheets and presentations (using MS Excel and PowerPoint)
|
 |
Assisting with planning and organization of meetings and events, including travel arrangements
|
 |
General clerical duties including copying, scanning, filing and maintaining the department library
|
 |
Updating and maintaining the online contact database (using FileMaker)
|
 |
Accounting support such as docket management, purchase order preparation and invoicing
|
 |
Conducting web-based research
|
|
|
|
| The successful candidate will have the following skills and characteristics: |
 |
Knowledgeable and proficient use of PCs including expertise with MS Office applications (Word, Excel and PowerPoint) and Adobe Acrobat; experience with FileMaker is an asset. |
 |
Web-savvy with demonstrated research skills |
 |
Excellent attention to detail and ability to maintain confidentiality

 |
Ability to achieve results on a deadline with minimal supervision
|
 |
Excellent organizational and planning skills with ability to prioritize and multi-task
|
 |
Strong written and verbal communications skills
|
 |
Friendly, personable and able to work as part of a team |
 |
2+ years of experience in a similar role
|
 |
Experience in a PR environment is an asset, as is post-secondary education
|
